Checkout Flow service

Custom Shopify integration services

Custom Shopify integrations with Xero, QuickBooks, NetSuite, Sage, your ERP or CRM: studied, built on official APIs and tested before go-live.

When Shopify and your other systems don’t agree

Orders are in Shopify, invoices in your accounting software, stock in an ERP or a spreadsheet, customers in a CRM. As long as these tools don’t exchange data, someone copies it by hand, figures drift apart and nobody is sure which system is right.

Checkout Flow designs and builds custom Shopify integrations: connections between your store and the systems you already use, through their official APIs, built for your processes and tested before they go live.

What a Shopify integration can synchronise

  • Accounting: paid orders, refunds, taxes and payouts sent to your accounting software as sales or invoices.
  • ERP: orders sent for fulfilment, statuses and tracking returned to Shopify.
  • Inventory: stock levels kept in line between Shopify and the system that holds the reference stock.
  • Customers and CRM: customers, consents and order history shared with your CRM.
  • Payments: transactions reconciled with your payment provider, including providers connected by a custom payment integration.
  • Reporting: sales data gathered where you analyse it.
  • Automation: notifications, tasks and follow-ups triggered by Shopify events.
  • Custom APIs: your own software, a supplier’s system or a marketplace.

Examples of systems we can study

Each of the systems below offers an API. We can study a Shopify integration with them; feasibility, scope and price depend on your account, your version or plan, the permissions available and the data you need to exchange.

SystemTypical needs
XeroShopify sales and refunds recorded as invoices or sales, payout reconciliation
QuickBooksSales receipts or invoices from Shopify orders, customers and taxes
NetSuiteOrders to the ERP, inventory and fulfilment back to Shopify
SageAccounting entries from Shopify sales, depending on the Sage product you use
CRMCustomers, segments and order history
ERP and business softwareProducts, stock, prices, orders, statuses
Custom APIsAny system with a documented API

These are examples of systems an integration can be built with, not ready-made connectors: we have no proprietary plugin for these products and no partnership with their publishers. When an existing app already covers your need well, we tell you, and a custom integration is only worth it when it doesn’t.

How a Shopify integration project runs

  1. Needs analysis. Which data, in which direction, how often, and what happens when something fails.
  2. API check. We verify what the APIs of Shopify and of the other system allow with your account and plan: available data, permissions, limits.
  3. Architecture. Webhooks for events, API calls to act, a scheduled reconciliation to catch up, logs and alerts. See webhook vs API.
  4. Development. On a test store or a copy, never directly on your live store.
  5. Tests. Real scenarios: new order, partial refund, cancellation, stock-out, temporary failure of one system.
  6. Deployment. Switch-over when it suits you, with documentation.
  7. Support, if included in your quote: monitoring, fixes, API version upgrades.

Built to be reliable

  • API keys and secrets stay on the server, never in your theme or public code.
  • Only the permissions the integration needs are requested.
  • Every exchange is logged, and errors are reported instead of being lost.
  • Processing is idempotent: an event received twice does not create two invoices.

Frequently asked questions

Does Shopify integrate with QuickBooks or Xero?

Shopify exposes its data through its Admin API, and both QuickBooks and Xero offer APIs, so an integration is technically possible. Apps also exist for common cases. A custom integration makes sense when your accounting rules, your payment providers or your volume go beyond what an app handles.

Can you connect Shopify to our ERP?

Usually, if the ERP offers an API or a reliable import method. We check this first, before any quote.

How long does a Shopify integration take?

It depends on the number of systems, data types and edge cases. You receive a scope and a timeline in your quote after the needs analysis.

What happens when one of the systems is down?

The integration records the failure, retries, and a scheduled reconciliation catches up what was missed. You decide in advance who is alerted.
